Preparing a visa file means sharing identity documents, bank statements, employment letters and sometimes medical records. Here is precisely how that material is handled.
Our handling practices
Access is limited to your assigned advisor
Case files are not browsable by staff generally. The advisor assigned to your case, and the supervisor accountable for it, are the people who can open your documents.
Encrypted in transit and at rest
Documents are encrypted while being sent and while stored. They are not circulated over personal messaging accounts or unmanaged email.
Views and changes are recorded
Opening or changing a document creates a record of who did it and when, so access can be reviewed rather than assumed.
Document links expire
Where a document link is shared for review, it is time-limited rather than permanent, so an old link does not remain a standing door.
Defined retention and deletion
Documents are retained only for as long as the work and our record-keeping obligations require, then deleted on a defined schedule.
You can ask what we hold
You may request a summary of the information we hold about you, or ask us to delete it, subject to any records we are obliged to keep.
What we ask of you in return
A few habits materially reduce the risk of your documents ending up somewhere they should not.
- Send documents through the channel your advisor gives you, not to a personal number you found elsewhere.
- Never share your passport or financial documents with someone promising a guaranteed appointment or approval.
- Tell us immediately if you believe your documents have been shared without your consent.
- Ask us before sending anything you are unsure about — an advisor will tell you whether it is actually needed.
Privacy questions
